Use Salesforce Email Templates: A Step-by-Step Guide
You can quickly create and send emails using pre-formatted email templates.
Salesforce email templates can be used to increase productivity and ensure consistent communication.
Email templates with merge fields allow you to quickly send emails that contain field data from Salesforce records like Contacts, Leads, and Opportunities.
You can use email templates to mass-email people using List Email, or send to one person. You can either create your template or use one created by Admin or your manager.
There are two types of Salesforce email templates:
1. Email templates from the past
There are four types of Classic email templates: Text, HTML with Classic Letterhead, and Custom. All these email templates let you add text, merge fields, or attach attachments.
Salesforce Merge Language is used to insert merge fields. These templates can be used to send email notifications using Workflow Rule, Process Builder, or Flow.
2. Templates for Lightning Emails
These are the latest email templates. These templates can be used with Enhanced Letterheads
They use Handlebars merge Language (HML) for merging fields. This is more flexible than SML.
Enable Enhanced Folders or Sharing to organize Lightning Email Templates into folders and control user access.
These cannot however be used to send email notifications in Workflow Rule or Process Builder as I write this blog entry, at least not for now.
A quick comparison of the features of both email templates.
Email templates builder
This tool is brand new and was introduced with the Winter ’21 update. You can quickly and easily create email templates using visual tools.
Drag elements like HTML, Rich Text, and Button to create visually appealing email templates.
To grant access to Email Template Builder, create a permission set with access to Lightning Content Builder system permission enabled.
Email Template Builder is not available for Lightning or Classic email templates that have been created.
Email templates are a Salesforce productivity tool that can help your users save a lot of time when they send emails. The Email Template Builder has made it even easier to use, so the step-by-step guide will help you get started.
Once you’ve finished it, you can:
- The Content Builder should be granted permission to users.
- Activate Email Templates Folders and Improved Sharing
- Make an email template that’s lightning fast.
- Make changes to the Lightning Email Template Builder
- Emailing a list using a new template
- Emails from the Scheduled List
- Create a traditional email template
- Make an email notification
- Create a process for email alerts.
- Use a classic email template.
Pardot and Salesforce have introduced a new email template maker with drag-and-drop capability in the Winter 21 Release.
Pardot users who use it to create email templates will be relieved to know this. However, there are so many names and locations that templates, content, and emails can be found. It’s easy to get lost, even if you have been using them for some time.
These are the basics to help you get started with any builder, whether you’re a new or experienced Specialist.
Pardot compared the new Lightning Builder. The Classic Email
With the introduction of the Lightning Email Builder, there are now two main interfaces for designing your email in Pardot.
Salesforce’s App Launcher will show the new email builder. It is located under “Email content” and can be accessed as “Email content Builder”.
Salesforce refers in its documentation to this new “Email Product Builder” as the “Lightning Email Building for Pardot”.
Pardot’s new Lightning Email Builder complements the existing Pardot email creator, which can still be found in the Pardot App’s Pardot Email tab. The old feature is now known as Classic Email for Pardot.
Although Classic Email for Pardot offers many useful features, it also has its drawbacks. For example, the ease with which you can create themes and emails.
It can also perform tasks that the new builder cannot. What is the difference? Let’s review everything once again.
Why should you choose one of the Pardot email builders over the other?
The builders will be available for you to choose from. Your plan, financial resources, and expertise will influence your decision.
It may vary depending on the case. Your overall marketing strategy will determine it.
Pardot, a robust platform for advanced marketing automation, is available. You can create sophisticated engagement strategies and nurture routes with automated messages at different intervals.
It is possible to create shortlists and send email blasts simultaneously. Pardot works best for companies that have a clearly defined marketing strategy. This page will provide information about how to work with yours.
Limitations vs. Email Builder Features
Many businesses, especially nonprofits, rely on one-off emails to interact with their audience. This is a far better approach than scheduled and planned marketing campaigns or engagement programs.
Companies at this level may not need access to source codes and CSS (Cascading style sheets).
Pardot’s Lightning Email Builder is here to help. Many people love the drag-and-drop functionality of the new builder, which is very similar to Lightning Page Builder. This is similar to Salesforce’s beloved clicks not codes configuration capabilities.
With just a few clicks, the new builder allows you to create buttons and style them. You can still use an online external button maker or upload and link to a photo in another builder.
The new builder is easier to use for HTML (Hypertext Markup Language) manipulation.
Classic Email for Pardot allows you to access all HTML and make changes directly.
This can be helpful if you are a skilled email marketer.
The new builder allows you to modify certain HTML blocks, but not the entire code. The new builder also doesn’t allow you to immediately access landing page links and custom redirects like Classic. However, you can copy and paste them.
The difference between traditional and new builders is the inability to create emails that can be used with more complex automation.
Pardot plans to continue adding new features to the Lightning email builder in future versions and does not plan to discontinue support for the Classic Builder.
It is not possible to import an entire template from another builder yet. If you have templates that you depend on from the previous setup, it may be best to keep them aside for now.
Get started by using the new email builder
You will need to go through several stages to use the new builder. This depends on whether you have the Pardot Lightning app installed or if you are new to Pardot. Follow the steps below.
First, make sure you have the following:
Pardot Lightning App by Salesforce
Campaigns that are linked
All users who wish to use the builder must have the right roles and permissions.
Salesforce users require a role as Pardot Administrator or Salesforce Administrator.
Salesforce users must be mapped to the users. Users must also have the Pardot ‘Send To List’ permission.
Pardot: Working with Handlebars
Any Pardot edition attached to a Salesforce organization that is a Professional edition (or higher) and a confirmed Salesforce connector
Pardot allows you to set up an authenticated email domain.
Then, enable or set these options:
Create My Domain (Salesforce)
Allow Folders and enhanced sharing
Take a look at the structure of Salesforce folders.
After you have enabled Salesforce CMS, you will need to create a CMS Workspace as well as a CMS Channel.
Configure Email Settings, and Grant User Rights in Salesforce Setup’s Pardot Section.
Add the new Email Template and Email Content tabs to your Salesforce navigation bar.
The new builder is great for blasts, but the original builder may be more useful for batching and finer automation.
