How to Write the Best Prospecting Emails

Prospecting emails are a powerful tool to generate leads.

This is an essential part of your sales process. It should be written with these in mind:

1. Personalize it! Include some information about you and your company in the first few lines. This will ensure that you don’t appear as an anonymous company without a personality. This is not an order form.

Instead, try to make it feel like you talking with someone with similar goals and needs–someone who can help you achieve your dreams.

Engaging your reader should make them feel good about their future and encourage them to take action.

2. Keep it concise. Write quickly so the reader doesn’t spend too much time thinking about it or reading it before they take action.

3. Include a proof-of-concept – It is a great way to get the most out of prospecting emails.

This will make them feel more at ease with you making contact and trust that you are worth your time.

4. Keep it brief and to the point. Prospecting emails that get opened and read are the best. Not the one that looks like a marketing brochure or mini-manifesto.

Keep your subject line to a couple of words (“Hey there!”) so that you can get to the point quickly and easily without going through unnecessary details.

This is the same for all your copy: ensure that every sentence contains only one idea (or two max).

a. Use a formal tone, and use the third person (“Dear Prospect,” To Whom It May Concern,” etc. )

b. Your prospects should be treated as if they were equals or superiors to you. (e.g. “Mr./Ms/Mrs/Miss [insert nickname], I’d love to just take a minute of your time…etc. ).

This will not only make them more productive, but it will also make them feel like their opinions matter – which is exactly what they should be!

6. Keep it brief and sweet.

Do not send long, rambling emails filled with self-promotional prose.

You don’t need to send them a resume or talk about your school achievements. It’s better if they just ask questions.

7. Use action verbs, but only one per sentence. Avoid using words such as “please” in prospecting emails. These phrases can make prospects feel obliged to reply to your messages.

Use action verbs such as “request” or “thank you” instead in your emails, for example

a. Use “request” instead. If you have to ask a question, then use this form of phrasing: ‘I would like to receive more information about [insert company/position]’.

b. Use one verb per sentence. What date(s), if any, would you prefer if I had a chance to meet with you? Or, I would love to meet with you at your convenience.

c. Avoid using passive language (e g. “I am writing this mail” Use active language instead, such as the ones above – e.g. “I would like to learn more about [insert company/position].”

8. Include a call to action- This is a great way to get prospecting emails opened. For example, include an action verb in your subject line such as “I would love for you to hear from me.” Follow up by email with people who don’t reply to your emails and inquire if they have received it.

9. To make people feel at ease, including a personal note in your emails: Use the following sentence to describe your email: “I hope that you received my mail.”

They will feel that they are speaking directly to the person responsible for their particular department or job at the company, and not some HR manager/person.

10. Be careful with your subject lines! – It is important to keep them short and simple so prospects don’t know what’s next. This makes it seem less urgent.

11. Send only one email per day. If you send too many emails within a day, your prospect may delete them all without ever reading them.
